There is no universal price for every business trip. The package, currency and approved company terms determine the amount. Use the model below to organise your own assumptions, without invented savings.
Start with person-trips
Count the travellers in the period and the trips per person. Ten people travelling twice represent twenty person-trips. That does not automatically mean twenty identical packages: one trip may cover more countries, last longer or require more data than another.
For planning, use the complete package cost for one person on one trip. If routes or working patterns differ substantially, calculate separate groups, such as short sales visits and longer service assignments. The result is neither a quotation nor a reserved price.
Plan a period’s purchasing budget
Use your own price for all packages needed by one person on one trip. The starting numbers are examples, not ROAMLINX prices.
Example: 10 × 2 × 40 PLN = 800 PLN; plus 15% reserve = 920 PLN. JavaScript enables recalculation.
The currency selector does not convert prices. Enter all amounts consistently as net or gross; the calculator does not calculate VAT. Nothing is sent to our server.
Three figures that should not be confused
For prepaid purchasing, the company account must contain sufficient funds. The employee also needs active membership and enough remaining purchase allowance. Increasing an employee’s limit does not add funds, and making a transfer does not change their permissions.
With deferred payment, the agreed company credit ceiling, payment conditions and any overdue documents also matter. A 21-day payment term is available to organisations with approved arrangements; it is not an automatic benefit of registering.
| Figure | Meaning | What it does not do |
|---|---|---|
| Prepaid balance | Funds available to the organisation in a particular currency. | Does not grant unlimited spending rights to every employee. |
| Employee monthly limit | A calendar-month allowance for net business purchases. | Is not a gigabyte allowance or a separate limit for one journey. |
| Company credit ceiling | An agreed restriction under deferred-payment terms. | Is not cash that can be withdrawn or automatically refunded into a prepaid wallet. |
Check net, gross and currency in context
Employee monthly purchase budgets are calculated on a net basis. The payable amount may include VAT according to the organisation’s configuration and transaction terms. When comparing a limit with a checkout total, do not mix net and gross amounts.
Provide the correct purchasing entity’s details during setup. A VAT number alone is not a promise of automatic tax exemption. The documents and treatment must reflect the approved details and applicable transaction rules; confirm accounting requirements with your finance team.
If your budget is in PLN, do not enter a EUR amount without applying your company’s conversion policy. The calculator changes the currency label but does not obtain exchange rates, convert prices or calculate VAT.
From a purchase to records for finance
In Expenses, select the date range and, where useful, an employee. Export the CSV and keep the order references so that purchases can be associated with trips, even when the team travels to several destinations in one month.
Invoices is a separate view for issued documents. Download the appropriate PDF and check the buyer, currency, period and line items. Agree the issuing schedule and payment terms during company onboarding. Do not treat every export row as a separate invoice or the CSV itself as a tax document.
If your accounting system expects a particular import format, review a sample export and map the fields in your own process. A standard CSV export does not imply automatic integration with any ERP.
Changed plans and cancellation
Cancellation depends on the eSIM state and supplier conditions. Check eligibility before installation or use, then review the amount displayed by the portal. A cancelled flight does not automatically make a data package refundable.
For an eligible purchase paid with prepaid company funds, an approved refund returns to the company account. A personal purchase should not fund the organisation. For deferred-payment purchases, contact the team to agree cancellation and the accounting treatment; prepaid cash is not created automatically.
Do not correct an issued invoice by editing a spreadsheet total. A document correction needs its own process. Include the order and invoice references when asking for help, without sending an eSIM QR code.
A short review before the next period
Compare planned and actual purchases by person and type of trip. Distinguish a higher package price from an increase in the number of journeys. Spending is not a direct measure of data usage: portal limits control purchases, while usage observations depend on supplier updates.
Review membership for people who no longer travel, limits for new employees, available funds and document due dates. Keep one short finance procedure explaining where to get a CSV, where to download a PDF and where to request a correction.
Questions before you decide
Does an unused monthly employee limit carry forward?
The limit restricts purchases within a calendar month; it does not give the employee ownership of funds. Do not treat its unused portion as a transferable personal wallet.
Will the calculator charge the reserve amount?
No. It does not purchase anything or change an account. The reserve is only your planning assumption.
Which entity issues the documents?
The seller is ROAMLINX SIA, a Latvian company. Check the seller, buyer and tax details in the agreed terms and issued document.
Why is a purchase still unavailable after raising a limit?
Other causes include insufficient company funds, a company restriction, membership status or an overdue document. Read the portal’s message before retrying.
